Club Rules and Code of Conduct

All members are expected to adhere to our code of conduct and general club rules. While we try to keep our information sources updated, there may be contradictory and outdated information contained within this website, our app, and social channels. Any such information is superseded by the club rules and code of conduct below.

1.GENERAL CONDUCT

The conduct of our members is paramount when nurturing a safe and welcoming space where every can have fun. Improper conduct includes rudeness, being non-inclusive, making other members uncomfortable with your actions or words etc. Incidents of this nature will ideally be resolved as and when they arise between individuals involved with input of the session host and may result in a warning. Three warnings will result in a suspension, the length of which is at the organiser's discretion, or a ban. If allowed to return, any further improper conduct will result in an instant ban from the club. Harassment of any kind directed at fellow members or club/facility staff will not be tolerated. There is no room for sexism, misogyny, racism, homophobia, ableism, religious discrimination etc. in Budminton. Any member witnessing any form of this behaviour should report it to the session host or organiser. Incidents of harassment will result in an instant suspension or ban from the club. The organiser's decision on these matters is final.

2.INCLUSIVITY

While we respect and somewhat cater for the demand to play competitive matches, Budminton is a friendly, social club and all members should feel safe and supported by our organisers, hosts and fellow members when attending. Members should not discriminate against others based on playing ability. All sessions are social and fully inclusive unless stated. Where there is a significant difference in ability during a game, more advanced members should tailor their ability to make it fun and inclusive. Where sessions are protected for certain abilities e.g. advanced or coaching sessions, members should respect the decision of the organiser and hosts when determining their eligibility for these sessions. During competitive play, good sportsmanship is expected of all members and failure to deliver this may result in removal from a competition.

3.COME PREPARED

The club provides shuttlecocks and racquets are available for hire. Members are expected to come in appropriate activewear. Breathable, well-fitting sports clothing is best. Any clothing or jewellery that is considered a hazard should not be worn. Shoes should have good grip to prevent injury, as well as being clean and non-marking. A water bottle and a light snack should be brought, as well as any medication you may need, such as inhalers.

4.STAY SAFE

Any equipment, such as racquets, brought by members should be in good working condition. Members are expected to be conscious of who is around them when on court and off it. Sessions have a boundary line which non-playing members should not cross until it is their turn to do so. Good communication between partners will help prevent racquet clashes, people being hit, barged etc. If there are any hazards, such as debris or flooring damage, they must be reported to the session host immediately and play should not continue until they are removed.

No food or drink is to be consumed on the court but sealable water bottles may be taken to the side of the net to be consumed between points. If there are any spillages on court, they must be reported to the session host and cleaned immediately. In the event of contracting a potentially contagious illness, it is expected that members will not attend the session.

If an illness is discovered during a session, the host may ask you to leave and you will not be eligible for a refund. All attendees must follow the instruction of the session host at all times.

Members play at their own risk and any injury sustained during the session is not the responsibility of session hosts or the organisers of Budminton. If an accident or injury occurs, the session host must be notified immediately. A first-aider is available within the facilities we use, or the surrounding area. Anyone found to be behaving unsafely or those refusing to follow the instruction of the session host will be removed from the session.

5.WALK UPS

Walk ups (attendees not booked into a session upon arrival) are subject to a £2 surcharge and a space in the session is not guaranteed. This applies regardless of membership status and any membership discount must be used at a different session. No compensation will be given if discounts expire before then.

6.CANCELLATIONS AND REFUNDS

Members who can no longer make their booked session should remove themselves from it. Failure to do so constitutes a no-show and any member with three no-shows within a three-month period will have their booking privileges suspended for a short period. Members with active monthly memberships will have the cancelled session refunded to their allocation. This session must still be used within their membership period and any session unable to be rescheduled is forfeit. Pay as you go (PAYG) cancellations can be credited as a coupon as long as the cancellation is actioned and refund form is filled out no later than 24 hours before the session is due to begin. The form can be found in the help section of the website. Cash refunds for PAYG cancellations can be requested by filling out the form in the help section and are subject to a £2 fee.

If cancelling within 24 hours, the session host or organiser must be contacted to cancel. No refund or credit will be given within this time but a no-show will still be listed for members who fail to do so. In the event of potentially contagious illnesses, late cancellations and subsequent refunds and recredits are at the discretion of the organiser.

Memberships are non-refundable and unused sessions at expiry are forfeit. In the event of injury preventing attendance, the organiser can be contacted to suspend a membership until a member is fit to return. Decisions regarding this are at the organiser's discretion.

If Budminton has to cancel a session at short notice and no suitable alternative session is available, members will be eligible for a feeless refund, credit or membership extension (by one week for every cancellation). If membership extension is unsuitable, a feeless, prorated refund will be offered. Members must action this no later than 24 hours before the session is due to begin by contacting the organiser.

7.RACQUET HIRE

Racquet hire is on a first come, first served basis. Due to limited availability, hire is only guaranteed by purchasing the add-on for £2 when booking. A pay link will be available at the session by availability is not guaranteed. The pay link must not be reused outwith the sessions - the fee will not be returned to members who do so as the £2 cancellation fee negates the cost. If a racquet is hired, members are expected to take care of it - if a hired racquet is damaged, Budminton reserves the right to charge £40 to cover the cost for a replacement. Failure to cover the cost may result in suspension from the club.

8.GUESTS

Members with an active monthly membership can bring a +1 as a guest for £5 a session. Guests must be approved and added to the attendance list by the organiser. If this is not applicable, guests must sign up as normal. Unauthorised guests will not be admitted to full sessions but if the session host deems there is space, the walk up fee can be charged. Guests are subject to the no-show policy - if a guest can no longer make a session it is the responsibility of the member bringing them to inform the organiser. The guest can be rescheduled to another session in which the membership remains active as long as the cancellation is actioned no later than 24 hours before the session is due to begin. No refund or credit will be given to guests within 24 hours of the session starting. Failure to cancel a guest will count as a no-show strike against the member.

9.COUPONS

Privately-issued coupons are for personal use only and not to be shared with other members. Coupons redeemed through Bud Bucks loyalty, or won through tournaments or prize draws may be given to anyone to use. Any bugged coupons should be reported to the organiser. Misuse or exploitation of any coupons or promotions may result in expulsion from the club.

10.NON-PAYMENT

Unintentional non-payment of sessions will be remedied subsequently via the distribution of a pay link. Members will be suspended until this payment is received. Intentional non-payment of sessions and similar dishonesty or fraud may result in expulsion from the club.

11.SOCIAL MEDIA

Photos and videos may be taken during sessions for use on our website, app, and for promoting the club via our website social media platforms such as Instagram. By attending a session, implied consent to post these is assumed. Attendees can provide informed non-consent if they do not wish for media of them to be posted by filling out the form in the help section. Large group photos that contain members can still be posted without consent. Anyone can request to have a photo, in which they are a main subject, to be removed from social media. Large group photos may not be removed upon request so anyone wanting their image to remain off of our platforms should take care to exclude themselves from these. Informed non-consent can be removed at any time by contacting the organiser.
